Some time ago, I started using notion to write down all the ideas and things in my life. I also wanted to have control over the tasks I was doing every day. So I started making a checklist of each task, but I noticed that they didn't disappear if they didn't stay on the page where I had created them.

I was used to applications where you create notes and when you check them they disappear to a list of completed tasks. I was looking for something where I could automate tasks and organize them by project, to work with my team or by myself in a very efficient and minimalistic-looking way. So I set out to create the best project manager in notion.

The process.

I went in search of my notebook and pen, I started by brainstorming all the things I wanted the project manager to have, regardless if they were bad ideas or not.

Then I started to write them down in my idea bank that I had designed in notion to filter them and look with a friend to see what would work best.

The goal was to create a minimalistic interface that had zero distractions and in which you could move around very quickly and that would show you useful information about the projects you were working on.

I started by making a list of how many databases I wanted to have and also how they relate to each other and what data I wanted to be displayed in them.

The next step was to make a preview drawing and what I wanted the admin dashboard of my project manager to look like. Then I took all these ideas to notion, I started designing the database of clients, projects and tasks., but I also wanted to add their sub-tasks.

Notion has a way to create sub-tasks that didn't suit me, as they would be stored in the main task database. Everything this way would look too tangled, and the database overloaded with information.

So I set out to design the task manager in which I could add a checklist of sub-tasks when creating a main task, doing it automatically as if it were a task application.

Create a new database for the subtasks and link them to the main task.

For me, it was magic, to be able to create a task and be able to add its tasks directly to it.

The next challenge was to be able to display the information, I needed on the project timeline at a glance. I wanted to be able to see the progress of each project, who the team leader was, the people working on the project, and how many days were left on each project automatically.

At this point, I had to get my hands on advanced formulas to be able to create the whole view I had devised.

I also assigned a status to each project which would tell me what phase it was in, in addition to that I created a bunch of advanced filters. One, in particular, hid all the active tasks of a project if it changed its status to stop. Fantastic!

Finally, I started to build my final dashboard, adding views and putting every aspect of it to get this wonderful project manager. Which by the way is already available at a very affordable price on gumroad.
